Production management and inventory: purchasing, warehouse, quality and people in one system

Ava Solutions builds one management and inventory system for a manufacturing company: requests and purchasing, receiving and warehouse, bills of materials and costing, quality inspections, staff clearance and tasks. 1C and the programs you are used to stay where they are, and we connect them through a common foundation. We start with the Solution Map: three interviews, ten business days, and you keep the document.

  • This is not machine automation: we put supply, warehouse, quality and people’s work in order
  • We implement one process at a time, and the shop floor keeps running
  • The warehouse and the shop floor work from phones: receiving from a photo of the delivery note, inspections with photos
  • We work in Kazakhstan, Ukraine and the UAE

What holds growth back

  1. Problem: Raw material requests live in messaging apps and notebooksSolution: Requests from every department in one system: approval, an order to the supplier, and a status everyone can see
  2. Problem: Raw materials are accepted by eye, and mismatches surface laterSolution: A photo of the delivery note is checked against the order, and mismatches show up at receiving
  3. Problem: Only the warehouse clerk knows what is in stockSolution: Several warehouses, batches, transfers and write-offs in one database, with min and max stock based on usage
  4. Problem: Costing is done after the factSolution: Recipe cards link the product to raw materials and semi-finished goods, and the cost is visible for every item
  5. Problem: Quality and cleanliness inspections are done on paperSolution: Checklists with photos and reference photos, plus a score and a report for every inspection
  6. Problem: A new employee goes onto a shift without a briefingSolution: Cleared to work only after a briefing and a test, and the “Read and understood” mark stays in the history

How we start

  1. 01

    Solution Map

Three interviews and ten business days. You get a document: where money and time are being lost, what to fix first, which solutions fit. You keep the document.

  2. 02

    The first area

We launch the one process that pays off most, for example requests and receiving of raw materials. The rest of the work goes on as before.

  3. 03

    Module by module

Each new module plugs in faster than the last: people, permissions, suppliers and money are already in place.

  4. 04

    Your own modules

If your process needs something the ready-made modules don’t have, we build it on the same foundation.

How the system grows with your production

  1. 01

A new warehouse, area or supplier is added to the same database, not to a new program

  2. 02

Permissions follow the position: a new employee sees only their own work from day one

  3. 03

Every action stays in the log, and nothing is edited after the fact

  4. 04

AI follows the same rules as your employees: it reads within its permissions and writes only after confirmation

Frequently asked questions

How is this different from automating machines and production lines?

We don’t control equipment or install systems for machines. We put things in order around them: requests and purchasing, receiving and warehouse, costing, inspections, staff clearance and tasks.

Do we have to give up 1C?

No. 1C, spreadsheets and the programs you are used to stay where they are. We connect them through a common foundation and set up the exchange with your accounting system to fit your process. In one of our projects it already runs on files built from the accountant’s templates.

How does the work begin?

With the Solution Map: three interviews with your people and ten business days. You get a document: where money and time are being lost, what to fix first, which solutions fit, and which door to enter through. You keep the document.

Will production have to stop during implementation?

No. We implement one process at a time, and the rest of the work goes on as before. We connect the next area once the previous one is running.

Can people work from a phone in the warehouse and on the shop floor?

Yes. Receiving is done from a phone using a photo of the delivery note, inspections are done with photos, and each employee has a personal account with briefings and tests.

Will the system suit our kind of manufacturing?

The ready-made modules cover supply, warehouse, costing, inspections, people and tasks. What is specific to your shop floor, such as your own inspection stages or your own documents, we see on the Solution Map and build on the same foundation.

How do access and control work?

Permissions follow the position: everyone sees and changes only their own. The person responsible signs off on operations, and every action stays in the log with no edits after the fact.

What does AI do in the system?

It reads delivery notes and documents, sorts through supplier offers and answers questions about your data. AI sees only what the role allows and writes only after a person confirms.

Which countries do you work in?

With companies in Kazakhstan, Ukraine and the UAE. Our team is in Astana, Kyiv and Dubai.

How do you stop important things getting lost in work chats?

Second Brain gathers work chats from WhatsApp and Telegram in one place and pulls the main points into a summary. Documents from the chats reach the storage on their own: the Archivist files them on the shared drives, and the Librarian finds the right one from a question. Everyone sees only what their role allows.

Can I use the system from ChatGPT, Claude or Codex?

Yes. The systems connect to ChatGPT, Claude and Codex through connectors: you can ask about tasks, documents and data in the AI assistant you already use. Access is limited by the employee’s permissions.

Let’s start with a Solution Map for your production.
