Managing a chain and its branches: every location, person and inspection in one database

Ava Solutions builds one management system for your chain: staff and training, photo inspections of locations, tasks with an owner and a deadline, purchasing, and one database of employees, locations and suppliers. The point-of-sale and accounting systems you already run stay in place. We start with the Solution Map: three interviews, ten business days, and you keep the document.

  • For chains of stores, restaurants and hotels, and for companies with branches
  • Every location, employee and supplier is recorded once
  • 70,000+ requests and bookings a year go through our sales system
  • We work in Kazakhstan, Ukraine and the UAE

What holds growth back

  1. Problem: Standards depend on the manager and differ from location to locationSolution: Checklists with photos and reference photos: every inspection comes with a score and a report
  2. Problem: A new hire learns from whoever is on the same shiftSolution: Training in modules, tests, and clearance to work only after a briefing
  3. Problem: A former employee still has access to the systems for a weekSolution: Access to every connected system is granted and closed with one tick
  4. Problem: Tasks for locations get lost in chatsSolution: Every task has an owner and a deadline, and it can be closed only with a stated reason
  5. Problem: Purchase requests from locations are collected by handSolution: Requests by department, approval, and receiving from a photo of the delivery note
  6. Problem: Reports across locations and businesses take weeks to put togetherSolution: One consolidated view of every business and cash account in a single system

How we start

  1. 01

    Solution Map

Three interviews and ten business days. You get a document: where the chain loses money and time, what to fix first, which solutions fit. You keep the document.

  2. 02

    One or two locations

We launch one process at one or two locations, for example shift inspections or training for new hires. The other locations keep working as before.

  3. 03

    The whole chain

We roll it out to the other locations: roles, instructions and checklists are already set up.

  4. 04

    Module by module

Each new module plugs in faster than the last: people, permissions, suppliers and money are already in place.

How the system grows with your chain

  1. 01

A new location is added to the same database: employees, roles and suppliers are already described

  2. 02

Several companies of a group work in one system, and each sees only its own data

  3. 03

Permissions follow the role: everyone sees and edits only their own work

  4. 04

Every action stays in the log, and nothing is edited after the fact

Frequently asked questions

Do we need to replace our point-of-sale and accounting systems?

No. The point-of-sale system, 1C and accounting you already use stay in place. We add a chain management layer on top: people, inspections, tasks and one database. We set up the exchange with your systems to fit your process.

How do you keep control of locations when the manager can’t be everywhere?

Through photo inspections: a checklist with reference photos, a score and a report for every inspection. The task can be opened from a QR code at the location, without signing in.

How do you train new hires the same way at every location?

In TeamHub, training is built from modules in a set order: the employee reads, marks “Read and understood”, takes a test and gets cleared to work. The program is the same for every location.

What happens to access when someone leaves?

One tick in TeamHub closes access to every connected system.

Can we start with a single location?

Yes. We launch one process at one or two locations, and once it works we roll it out to the rest.

Does this suit a restaurant chain?

Yes. For venues there is Ava CRM, with guests, bookings and a floor map, and Ava ERP, with requests, receiving and warehouse. iiko stays the system of record: Ava ERP reads sales and stock from it.

Does this suit a chain of stores?

Yes, as a chain management system: people and training, location inspections, tasks and one database. We don’t replace a store’s point-of-sale system and inventory records: they stay yours, and we set up the exchange with them to fit your process.

How do you get a promotion to every location in time?

In the Marketing section of TeamHub a promotion goes from idea to result: approval, materials, a message to staff in the right positions with a “Got it” button, tasks for departments and a photo inspection before launch.

What does AI do in the system?

It reads delivery notes and documents, puts spreadsheets into one format and answers questions about your data. AI sees only what the role allows and writes only after a person confirms.

Which countries do you work in?

With companies in Kazakhstan, Ukraine and the UAE. Our team is in Astana, Kyiv and Dubai.

How do you stop important things getting lost in work chats?

Second Brain gathers work chats from WhatsApp and Telegram in one place and pulls the main points into a summary. Documents from the chats reach the storage on their own: the Archivist files them on the shared drives, and the Librarian finds the right one from a question. Everyone sees only what their role allows.

Can I use the system from ChatGPT, Claude or Codex?

Yes. The systems connect to ChatGPT, Claude and Codex through connectors: you can ask about tasks, documents and data in the AI assistant you already use. Access is limited by the employee’s permissions.
